Must standardise

  • Core app set + update approach: staged updates, version control for critical apps

  • Identity flows: minimise prompts, predictable MFA, avoid fragile steps at shift start

  • Device mode and restrictions: kiosk/single purpose or controlled multi-app (where relevant)

  • Compliance posture: consistent, auto-remediating where possible

  • Reset/refresh routine: scheduled resets (nightly/weekly depending on usage)

  • Network config: Wi-Fi profiles and endpoints validated per site

Can be flexible

  • Non-critical apps

  • UI preferences (where they don’t affect workflow)

  • Optional productivity tools

  • Role-specific variations if they’re controlled and documented

In shared fleets, flexibility is fine until it creates drift. Keep flexibility intentional, not accidental.

Multi-site reality: Wi-Fi is often the hidden culprit

The same device can behave perfectly in one site and fail in another. Common causes:

  • VPN introduces different behaviour on Wi-Fi vs cellular

  • Renewal visibility

  • Clear remediation steps

  • Monitoring that catches expiry trends early

User guidance matters more than people admit

Shared device fleets fail when guidance is vague. “It should work” isn’t a process.

Good guidance is:

  • Short (people are busy)

  • Placed where it’s needed (at shift start)

  • Specific (what to do if X happens)

  • Consistent across sites

The goal isn’t more training. It’s fewer moments where users have to think.
